Full-time Administrative Assistant / Project Coordinator

We are seeking an Executive Assistant to provide senior level support for the EVP of our National Industry Practice, in our New York, NY office.  This is an exciting, highly visible opportunity for a recent college graduate to work for a fast paced, senior level executive.

  • Must be flexible to work 8:30am – 6pm and flexible for additional overtime.

POSITION SUMMARY:
Perform administrative duties for a senior leader of a business unit or operating division. This position has access to and regularly works with information of the most sensitive, highly confidential, strategic, and critical nature. The scope and complexity of this position is such that the Executive Assistant is regularly dealing with diverse matters that require substantive knowledge of the Senior Leader’s area of responsibility.

ESSENTIAL DUTIES:
The Executive Assistant ascertains the nature of incoming phone calls, accurately records messages, and transfers calls as necessary. Communicates in person and through correspondence with high level contacts inside and outside the company such as vendors, customers, and senior leadership. Composes and types correspondence, memos, presentations, organizational charts, confidential materials, etc. Schedules and coordinates meetings, conference calls, and other executive events. Informs attendees of function dates and times, reserves meeting space, provides the appropriate equipment/materials and provides hospitality services as needed in these meetings. Maintains and manages calendars in Lotus Notes, including heavy coordination of travel arrangements and itineraries. Initiates, establishes, and communicates department meetings on behalf of the Senior Leader. Prepares agenda. Follows up on meeting action items. Organizes, prioritizes, and summarizes the content of incoming materials, specially gathered information, special requests, and meetings. Prepares special or one-time reports, summarizes or replies to inquiries, and creates, maintains, and updates spreadsheets to support reporting and analysis for senior leader approval. Maintains database information, such as mailing lists, vendors, etc. in applicable format. Files correspondence and other records. Makes copies of correspondence and other printed matter. Ensures adequate office supplies. Processes purchase requests for additional office supplies as needed.

The Executive Assistant will also assist in every part of the brokering process including preparing (copying, binding) reports, database entry, responding to requests for data, preparation of correspondence & related activities.

REQUIRED SKILLS AND EXPERIENCE:
Strong skills PowerPoint, Word and Excel required. Ability to project professional tone in verbal and written communication, ability to independently prioritize tasks. Internship experience within an insurance, financial or services company is preferred.

REQUIRED EDUCATION: Bachelor’s Degree.
